Complete guide to using Talsense AI-driven HR platform

Getting Started (Companies)

Account Registration

Register your company account at the registration page. You'll need to provide:

  • Company name and email
  • Company website
  • Basic company information

Company Verification

After registration, your company will go through a verification process:

  • Pending: Awaiting admin review. You can complete your profile during this time.
  • Approved: Full access to all features
  • Rejected: Verification failed. Check verification notes and update your profile.
  • Suspended: Account temporarily disabled. Contact support.

User Management

Inviting Team Members

Navigate to Company Dashboard → User Management to invite team members:

  1. Click "Invite User"
  2. Enter email and name
  3. Select role (company_admin or company_user)
  4. Assign permissions
  5. Send invitation

User Roles

  • Company Admin: Full access to all company features
  • Company User: Access based on assigned permissions

Permissions

Available permissions:

  • jobs.view/create/edit/delete: Job management
  • candidates.view: View applications and candidates
  • analytics.view: Access recruitment analytics
  • credits.view: View credit balance, usage, and transaction history
  • templates.view/create/edit/delete: Interview template management
  • users.view/invite/edit/delete: User management
  • company.edit: Update company settings

Job Management

Creating a Job

  1. Go to Company Dashboard → Job Management
  2. Click "Create Job"
  3. Fill in job details (title, description, requirements)
  4. Select job type (full-time, part-time, contract, internship)
  5. Set location (remote, on-site, hybrid) and location details
  6. Add salary range (optional)
  7. Set experience level and education requirements
  8. Select interview template (if interviews are required)
  9. Publish job

Managing Jobs

  • View all jobs in the jobs list
  • Toggle job active/inactive status
  • Edit job details anytime
  • Delete jobs (careful: this removes all applications)
  • View applicants for each job

Interview Templates

Creating Templates

  1. Navigate to Interview Templates
  2. Click "Create Template"
  3. Enter template name and description
  4. Select interview type:
    • General: Standard interview assessing overall communication and fit
    • Technical: Evaluates technical knowledge, problem-solving, and coding skills
    • Behavioral: STAR method-based assessment of past experiences
    • Situational: Hypothetical scenario-based questions
    • Cognitive: Tests logical reasoning and analytical abilities
    • Culture Fit: Assesses alignment with company values
    • Personality: Evaluates personality traits and work style
    • Resume Based: Deep dive into candidate's resume and experience
    • Language Proficiency: Assesses language fluency and skills
    • Role Simulation: Case studies and role-playing scenarios
  5. Set duration (in minutes)
  6. Select language (English, Urdu, etc.)
  7. Choose AI model for analysis
  8. Save template

Using Templates

Assign templates to jobs when creating or editing job postings. Candidates who apply will receive an interview key to complete the AI interview.

Complete Job Posting Workflow

Step 1: Create Interview Template

Before creating a job, set up interview templates for candidate assessment. See the Interview Templates section above for detailed steps.

Step 2: Create Your Job Posting

  1. Go to Company Dashboard → Job Management
  2. Click "Create Job" button
  3. Fill in all required fields including title, description, requirements, job type, location, and salary
  4. Select the interview template created in Step 1

Step 3: Review and Save as Draft

Review all job details carefully and save as draft to review later before publishing.

Step 4: Publish Your Job

Toggle job status to "Active" and publish to make it visible to candidates.

Step 5: Managing Your Published Job

  • View Applications: Click on job → "View Applicants"
  • Edit Anytime: Update job details as needed
  • Pause Applications: Set job to "Inactive" to stop receiving applications

Step 6: Reviewing Applications

Navigate to Job → Applicants to review candidates and their AI-generated assessments.

Candidate Management

Application Statuses

  • resume_review: AI is analyzing the resume
  • interview: Candidate is in interview stage
  • final_review: Final evaluation in progress
  • process_complete: All stages completed

Reviewing Candidates

  1. Go to Job → Applicants
  2. View application list with status
  3. Click on applicant to see details
  4. Review AI-generated reports (resume analysis, interview results, final assessment)
  5. Mark candidate as selected or rejected

Analytics & Reporting

Available Metrics

  • Total applications and candidates
  • Active jobs count
  • Application trends over time
  • Average time-to-hire
  • Candidate quality scores
  • Interview completion rates

Using Analytics

Access analytics from the Company Dashboard → Analytics. Use filters to customize date ranges and view specific metrics for individual jobs or overall recruitment performance.

Managing Company Profile

Update your company information:

  • Company name and description
  • Industry and company size
  • Website and social media links
  • Contact information
  • Company logo

Creating Your Account

  1. Register at the signup page
  2. Verify your email address
  3. Complete your profile

Profile Completion Requirements

Before applying to jobs, you must complete:

  • Phone number
  • Location (city, state, country)
  • ID information (for verification)

You'll see a notification on your dashboard if your profile is incomplete.

Navigate to Dashboard → Profile to add:

  • Personal Information: Name, email, phone, location
  • Professional Summary: Brief overview of your experience
  • Skills: Technical and soft skills
  • Experience: Work history and achievements
  • Education: Degrees and certifications
  • ID Information: For identity verification

  • Keep information up-to-date
  • Be specific about skills and experience
  • Use keywords relevant to your industry
  • A complete profile improves your match score

Resume Management

Uploading Resumes

  1. Go to Dashboard → My Resumes
  2. Click "Upload Resume"
  3. Select file (PDF, DOC, or DOCX)
  4. Wait for upload to complete

Managing Multiple Resumes

  • Upload different versions for different job types
  • Download resumes anytime
  • Delete outdated resumes
  • Select which resume to use when applying

AI Interview Process

Understanding Interview Keys

After applying to a job that requires an interview, you'll receive an interview key:

  • Unique secret key for accessing the interview
  • Expiration date (complete before it expires)
  • Usage limits (usually 1-3 attempts)
  • Find your key in Dashboard → My Applications

Interview Types

Interviews can be of different types based on what the company wants to assess:

  • General: Standard questions about your background and fit
  • Technical: Tests your technical knowledge and problem-solving
  • Behavioral: Questions about past experiences (STAR method)
  • Situational: Hypothetical scenarios to assess decision-making
  • And more... Culture fit, personality, language proficiency, etc.

The AI will ask questions tailored to the interview type and analyze your responses accordingly.

Taking the Interview

  1. Click "Start Interview" from your application
  2. Grant camera/microphone permissions
  3. Test your equipment
  4. Answer AI-generated questions (tailored to the job and your resume)
  5. Submit when complete (typical duration: 15-30 minutes)

Interview Tips

  • Find a quiet, well-lit location
  • Ensure stable internet connection
  • Look at the camera when speaking
  • Speak clearly and at a moderate pace
  • Be authentic and professional
  • Take your time to think before answering

Application Tracking

Application Statuses

  • Resume Review: AI is analyzing your resume against job requirements
  • Interview - Stage N: You're in the interview stage
  • Final Review: Company is making final decision
  • Selected: Congratulations! You've been selected
  • Rejected: Application was not successful this time
  • Process Complete: All stages finished

Tracking Your Applications

View all your applications in Dashboard → My Applications:

  • See current status of each application
  • View interview details and keys
  • See application date and last update
  • Access interview links when ready
